Job title: Administrator
Reports to: Senior Coordinator
Salary: £15 per hour / £15,600 pro-rated.
Contract: 20 hours per week
Location: Banchory
Purpose: To provide administrative support to a befriending service for older people in the Kincardine and Deeside area.
We are looking for an Administrator to join Aberdeenshire charity Kincardine and Deeside Befriending. The registered charity aims to reduce social isolation and loneliness in older people throughout the Kincardine, Deeside and Mearns area by matching them on a one-to-one basis with a volunteer befriender.
Based in Banchory, the job holder will be required to provide administrative support to the service working closely with the Senior Co-ordinator.

JOB DESCRIPTION: Administrator
(Part-time: 20 hours per week)
Location
Based at our office in Banchory. An office presence is considered desirable for this role. While we can support occasional home working, we would expect this to be the exception rather than the norm.
Hours
20 hours per week, Mon-Fri, 4 hours per day.
Salary
Starting salary £15 per hour.
Purpose of Job
To provide administrative support to a befriending service for older people in the Kincardine and Deeside area.
Reporting Relationships
The Administrator reports to the Senior Coordinator.
Duties
Befriending Portfolio
· Deal with enquiries, signposting to coordinators and/or other services if appropriate.
· Communication with referrers – including communication re open and close waiting lists, sending out annual reports, newsletters and other appropriate items.
· Administer befriending side of the service which includes maintaining confidential records for clients & volunteers. Includes upkeep of database on clients, volunteers, monitoring spreadsheets.
· Provide administrative support for training as needed.
· Maintain statistics on monthly and annual spreadsheets.
· Generate quarterly lists for coordinators of match agreements, match reviews, client annual reviews and volunteer annual reviews due.
· Maintain disclosure spreadsheet for volunteers, staff and trustees.
· Archive and storage of records, including scanning and destruction as per Data Protection Policy.
Administration
· Maintain records of staff timesheets, including annual leave and TOIL. Archive staff records in terms of policies.
· Maintain schedule of policy reviews. Liaise with key person for each policy. Maintain updated versions, volunteer policy handbook, constitution and other documents.
· Work with Senior Coordinator to collate, produce and maintain reports, newsletters, publicity materials. Produce annual stats for annual reports.
· Make changes or additions as needed on the website.
· Maintain office supplies.
· Facilitate, attend and take minutes at meetings including MC, AGM, staff meetings.
· Maintain generic email info@kdbefriending.org.uk
· Assist with recruitment of staff and trustees where appropriate.
· Any other tasks as required to support the team.
Finance
· Record all income and expenditure in Sage.
· Signatory for online bank account.
· Prepare and make online bank payments following the monthly schedule. Including upkeeping payee details.
· Maintain accounts records and Gift Aid declarations.
PERSON SPECIFICATION: ADMINISTRATOR
Previous experience working in an administrative role within an office environment – essential
Experience of working with older people or vulnerable adults – desirable
Understand General Data Protection Regulation (GDPR) – essential
Excellent telephone, verbal and written communication skills – essential
Excellent interpersonal skills, non-judgmental and empathetic approach – essential
Ability to set priorities, self-motivate and manage own workload – essential
Ability to be self-administering and to maintain office systems, accurate records and statistics and produce reports – essential
Proficient in using MS Office Software packages, specifically, Outlook, Word, Excel, Access, PowerPoint, Publisher – essential
Experience of using SAGE – desirable
Ability to plan and organise meetings including preparation of agendas and meeting papers and writing and dissemination of minutes -essential
Pay: £15.00 per hour
Expected hours: 20.0 per week
